Regulations for visiting the Fair

REGULATIONS
FOR VISITORS TO THE
International Food Service Trade Fair EuroGastro
and International Hotel Facilities Equipment Trade Fair WorldHotel
ORGANISED BY MT Targi Polska SA
 
§ 1
General provisions
 
1. The provisions of these Regulations (hereinafter referred to as the "Regulations") shall apply to the Visitors of International Food Service Trade Fair EuroGastro and International Hotel Facilities Equipment Trade Fair WorldHotel (hereinafter referred to as the "Exhibition") organized by MT Targi Polska SA with its registered office in Warsaw (04-204) at 12 Jordanowska Street (hereinafter referred to as "MT Targi").
2. The Regulations are available at the Fair grounds (at the Fair reception desk) and on the Internet on the website www.eurogastro.com.pl, in a form that enables its downloading and printing (PDF file).
3. Admission to the Exhibition means the acceptance of these Regulations by the Visitor, as well as the obligation to comply with their provisions.
4. The acceptance of these Regulations is tantamount to concluding an agreement for participation in the Exhibition.
 
§ 2
Orderly provisions
 
1. Visitors may stay on the premises of the Fair only during the days and hours of its opening.
2. Photographing or filming the stands and exhibits requires the prior consent of the Exhibitor or MT Targi.
3. It is forbidden to carry out activities inconsistent with the applicable laws and regulations, as well as any commercial, acquisition, promotional, propaganda or money collection activities not previously agreed with MT Targi.
4. It is forbidden to organise demonstrations and express political views in public.
5. It is forbidden to bring explosives, firearms, ammunition and objects, the use of which may endanger the health or life of persons staying on the premises of the Fair.
6. Within the Fairgrounds the following actions are prohibited:
 smoking (except for places designated for this purpose);
 bringing in and consuming alcohol;
 bringing in and using narcotic drugs;
 disturbing public order;
 using open fire;
 bringing in chemicals or other substances that pose a fire hazard;
 bringing in animals (except guide dogs for disabled people);
 littering the Fair grounds.
7. In the event of non-compliance with the points indicated in this paragraph paragraphs 3-5, MT Targi reserves the right to take the Visitor out of the Fairgrounds and, in justified cases, to call the Police.
8. It is forbidden for persons who are intoxicated or behaving in a manner endangering the safety of other persons on the premises of the Exhibition to enter the premises of the Exhibition.
9. MT Targi reserves the right to refuse the admission to the Fairgrounds of the person referred to in point 8 above.
10. The Visitor is obliged to
 respect the traffic routes designated by MT Targi;
 carry out orders issued by MT Targi services for organisational reasons, necessary to ensure safety or evacuation;
11. Persons under 18 years of age are forbidden to enter the Fairs.
 
§ 3
Admission and registration for the Fair
 
1. Entry rules to the International Food Service Trade Fair EuroGastro and International Hotel Facilities Equipment Trade Fair WorldHotel are published by MT Targi on www.eurogastro.com.pl website.
2. The admission rules include, among others, information about the dates and opening hours of the Fair for Visitors, types and prices of admission tickets, entitlements resulting from the possession of specific admission documents, dates and conditions of registration.
3. The admission to the Fair may be subject to restrictions for the Visitors depending on the type of the Fair, for example through:
 setting separate days or hours of visiting the Exhibition for: Trade Visitors, individual customers, organized groups;
 the requirement that the business or education profile be consistent with the subject matter of the Exhibition;
 introducing the obligation of prior notification of organized groups;
 closing the Exhibition to minors.
4. Admission to the Exhibition is possible only on the basis of a valid admission document (ticket, paper invitation, printed confirmation of registration on-line, VIP card) and is subject to control each time before entering the Exhibition.
5. MT Targi reserves the right to close the registration early or stop selling tickets if the pool of seats is used up.
6. MT Targi reserves the right to establish special entry rules for specific groups of Visitors (e.g. lower ticket price for families with children, students, organized or professional groups of Visitors after fulfilling the conditions published on the website of the Exhibition).
7. The Visitors who purchased the tickets have the opportunity to receive an invoice in the office of the Exhibition during the Exhibition.
8. Registration shall be made according to the following rules:
 registration can be done on-line at www.mttargionline.pl or at the fair reception during the fair;
 on-line registration requires reading the regulations of www.mttargionline.pl and its acceptance;
 on-site registration requires correct completion of the registration form and a legible signature on it;
 the registered Visitor has the possibility to inspect, complete and make changes to the data provided by them, as well as the right to demand their removal.
9. The submission of organized school groups shall be made on the following terms:
 the submission of a school group requires sending by e-mail to rejestracja@mttargi.pl the list of participants, the name of the institution, the names of the Guardians;
 in case the available pool of places is used up, MT Targi reserves the right to refuse the application;
 MT Targi will confirm the acceptance of the application by e-mail and propose the entry hours to the Fair. MT Targi reserves the right to change the date or time of admission of school group participants to the Fairs;
 a school group must be accompanied by at least one adult School Guardian for every 15 students. The Guardian bears full responsibility for safety, actions and damage caused by his charges on the Fair grounds;
 the confirmation of acceptance of the application and the accepted time of admission to the Fair for a school group will be sent together in an e-mail.
 
§ 4
Protection of personal data
 
1. The administrator of your personal data is MT Targi Polska SA with its registered office in Warsaw, 12 Jordanowska Street (hereinafter referred to as MT Targi).
2. In all matters related to the processing of your personal data by MT Targi Polska you can contact us by e-mail: daneosobowe@mttargi.pl or by phone: 22 529 39 50.
3. Your personal data is processed by MT Targi:
 In order to send to the e-mail address provided in the contact form or provided in the form of a business card, commercial information and direct marketing (in accordance with art. 6.1.a of the RODO and art. 10 of the Act of 18.07.2002 on the provision of electronic services (Journal of Laws No. 144, item 1204, as amended).
 In order to conclude a service contract based on your interest in our offer (basis art. 6.1.b of RODO).
 In order to participate in the Exhibition (basis art. 6.1.b of RODO, Exhibition regulations)
 To fulfil contractual obligations or provide a service (basis art. 6.1.b of RODO).
 To handle requests you make to us, which is our legitimate interest (basis art. 6.1.b of RODO).
 In MT Targi's information systems for administrative and information purposes to handle trade fairs and events, which is our legitimate interest (basis art. 6.1.b of RODO).
 In order to contact you for the purpose of handling the application, which is our legitimate interest (basis art. 6.1.b of RODO).
 For archival (evidential) purposes, to secure information in case of a legal need to prove facts to a customer or contractor which is our legitimate interest (basis art. 6.1.b of RODO).
 For the purposes of determining, investigating or defending against claims, if any, which is our legitimate interest (basis art. 6.1.b of RODO).
 To administer and maintain https://www.mttargionline.pl/, which is our legitimate interest (basis art. 6.1.b of RODO).
 For the purposes related to ensuring physical security during the fair, in particular with regard to internal and external video surveillance, both on the fair area and on the car parks and the area around the facility, which is our legitimate interest (basis art. 6.1.b of RODO).
 For the promotion of events organised by MT Targi in the form of photographs and video coverage of fairs and accompanying events, which is our legitimate interest (basis art. 6.1.b of RODO and the Fair Regulations).
 For the accreditation of media representatives (basis art. 6.1.c of RODO, legal act from the 26th January 1984. Press law)
4. As MT Targi we care about the confidentiality of your data. Due to the need to ensure appropriate organisation, e.g. in the area of IT infrastructure or current matters concerning our business activity as a company, as well as during the exercise of your rights as clients or persons providing services to MT Targi, your personal data may be transferred to the following categories of recipients:
 Service providers supplying MT Targi with technical solutions and enabling work in IT systems and management of our organization (in particular, IT and hosting providers and postal providers).
 Providers of legal and advisory services and administrative accounting.
 Transport service providers.
 State institutions e.g. Tax Office, Customs Office, ZUS
 The entities entitled to obtain data on the basis of the applicable law, e.g. courts or law enforcement authorities - of course only if they make a request on an appropriate legal basis.
 Subcontractors of our services.
 Providers of marketing and advertising services.
 To companies dealing with security and property protection.
 Administrators of a facility where the Exhibition is held.
5. Providing data necessary to set up an account, to complete the application form or necessary to sign the contract and perform services is mandatory. In other respects, it is voluntary. If you do not provide the data necessary to sign a contract, perform services or data necessary to fulfil the legal obligation of the administrator you will not be able to use these services or we may refuse to sign a contract
6. The processing of your personal data as part of the video surveillance is necessary to realize the legally justified interests of the administrator in ensuring the safety of the events and events organized by MT Targi, including the parking space and the area around the facility and the administrator's headquarter. The use of the data is necessary to realize the above-mentioned purpose.
7. In the case of consent to send commercial information to the e-mail address provided by you, providing the data is voluntary, you have the right to withdraw your consent at any time without affecting the lawfulness of the processing, which was carried out on the basis of your consent before its withdrawal.
8. In case of disagreement with the processing of data for marketing purposes, we will not be able to send you an email or call on your telephone number with information about new fairs and services.
9. In accordance with the fair regulations, in the case of an image recorded on photographs and video accounts of the fair, they may be placed:
 on the mttargi.pl website and the Exhibition website.
 on the fair's website is available on Youtube and Facebook (Funpage of EuroGastro / WorldHotel, www.youtube.com/user/MTTargi ).
10. Your data is kept for a period of time:
 We process your data collected in connection with the conclusion of a contract or participation in a trade fair until the end of the statute of limitations for potential claims under the contract, in compliance with tax and accounting regulations.
 Until you revoke your consent. Withdrawal of consent does not affect the lawfulness of the processing that was carried out on the basis of consent before withdrawal.
 Up to 10 years in the case of photos and video reports from the fair.
11. In connection with the processing of your personal data by MT Targi, you are entitled to:
 access to your data,
 correct the data,
 require their removal or restriction of their processing
 object to data processing
 transfer the data.
12. The source of your data is: participation agreement, registration form from the fair, mttargionline.pl website or newsletter from the fair website or were purchased from Mediaten Sp. z o. o., as well as from other commonly available sources.
13. In order to exercise any of the above rights, one should contact MT Targi by phone, through the website, by e-mail or in person at the headquarters of MT Targi.
14. We also inform you that you have the right to submit a complaint with the body supervising the observance of personal data protection regulations.
15. Your data is not processed automatically, through so-called profiling.
16. In accordance with the Regulations of the Fair, in the case of images recorded on photographs and video reports, they may be placed on Youtube and Facebook, whose servers may be located in a third country outside the European Economic Area.
 
§ 5
Responsibility of the organiser
 
1. MT Targi reserves the right to cancel, shorten or postpone the date of the Fair, which they shall inform about on the EuroGastro/WorldHotel Fairs website.
2. In the case of failure to use the purchased admission ticket to the Exhibition for reasons attributable to the Visitor, it is not possible to exchange it or refund the costs incurred.
3. MT Targi shall not be liable for the property brought by the Visitor to the premises of the Fairs.
4. The Visitor, on their own, is obliged to protect against damage or loss of the property brought by them to the premises of the Exhibition.
5. MT Targi shall not be liable for damage to the property or person of the Visitor resulting from the fault of a third party, the injured party or caused by force majeure.
6. The Visitor is fully responsible for the damage caused by them on the premises of the Exhibition.
 
§ 6
 
1. MT Targi reserves the right to take photographs, record videos and create reports of the events, which it organizes.
2. MT Targi shall use the image of the Exhibition’s participants, both exhibitors and visitors, only for advertisement and marketing of exhibitions and ancillary events it organizes.
3. Photographs and video reports, which include the image of participants and exhibitors may be published on:
- Facebook (EuroGastro and WorldHotel fanpage)
- Youtube www.youtube.com/user/MTTargi
- www.mttargi.pl and www.eurogastro.com.pl
4. MT Targi reserves the right to use photographs and video content taken during exhibitions for marketing and advertisement purposes, as well as to publish those materials on www.mttargi.pl and www.targieurolab.pl
5. MT Targi may keep photographs and video content taken during exhibitions and ancillary events for up to 10 years from the end date of an event.
6. MT Targi reserves the right to use photographs and video content taken during exhibitions and ancillary events, which, according to art. 81.2 of the copyright and related rights act from 4th February 1994 (Journal of Laws of 2018 item 1191), do not require consent for more than 10 years for archival purposes.
7. MT Targi shall not be responsible for photographs and video content taken by third parties during exhibitions and ancillary events, without the organizer’s knowledge.
8. Photographs and video content taken during Exhibitions and ancillary events may be published as press materials, in accordance with the Press Law Act from 26th January 1984 (Journal of Laws item 24, as amended), and also for statements in the context of literary and artistic activity.
 
§ 7
Final provisions
 
1. MT Targi reserves the right to amend the Regulations. Each time its consolidated content shall be published on the website of the EuroGastro/WorldHotel Fair.
2. Any matters not regulated by these Regulations shall be governed by the provisions of law in force on the territory of the Republic of Poland, in particular the Civil Code.
3. Each Visitor has the right to submit a complaint related to the performance of the services specified in these Regulations by MT Targi.
4. The complaints of the Visitors should be expressed in writing and submitted during the Exhibition at the reception desk or later (within 7 days after the end of the Exhibition) by e-mail to recepcja@mttargi.pl or by post to the address: MT Targi Polska SA, 12 Jordanowska St.; 04-204 Warsaw.
5. The response to the complaint shall be sent electronically or by mail to the address provided by the Visitor within 14 days from the date of its receipt (if the processing of the complaint requires additional data, this period may be extended).
